What AI Can Now See In Your Business (And Why That Changes Everything)
🎧 Listen to the Audio Version Below
“AI feels risky…”
Not because you doubt its capability.
But because every solution being thrown at you sounds the same, and your business is unique. So why would you trust them?
The operators pulling away right now aren’t just “using AI better.”
They’re seeing something you can’t. For example-
If you found out that 73.5% of your work orders are happening while your office is closed…
Would you still staff the same way?
Build the same processes?
Look for the same vendors?
Because if that’s true, you may have been optimizing for the wrong moment.
And if you’ve never measured that, you don’t know where your operation is breaking.
You just feel it.
In the backlog.
In the pressure.
In a team that never quite catches up.
So you do what any rational operator would do. Ask around, see who is using what, and what’s working for them, and try to implement.
But are these people helping you optimize for 2 PM or 9:30 PM?
Because even when you execute perfectly… when you are solving the wrong thing, it won’t work.
And that’s why any new implementation- AI or not- feels like a risk.
If you could be certain that the advice you were getting was tailored to your exact business- and by following it, you knew what the outcome would be- it would make the decision to start MUCH easier.
Well the good news is, that is now possible.
Then You Meet Wendy
Wendy is the last person you’d expect to bet the farm on AI.
She’s not the prototypical, risk-taking operator you see talking about AI online. She’s methodical- the kind of PM who tries to solve things the “right” way.
She was actually an early Vendoroo client, because she needed to staff her maintenance department, and wanted to give it a shot with AI. But it wasn’t the right time. Back then, we couldn’t articulate exactly what would happen and how- just that we would get there. That was too much uncertainty for her.
And when people don’t feel certain, they go back to what they know. She hired a maintenance coordinator.
We made Wendy a symbol. We knew she represented many property managers out there. And the only way they are going to commit to transforming into an AI-first company, they would need certainty.
So committed to, not just build the best AI in property management, but to make it as easy as possible to understand what you need it for.
And it’s what we needed to do to win Wendy back… and keep her!
Let’s dive into how that certainty has been created.
Ad Break
The biggest mistake we see? Trying to implement AI before you understand your own operation.
That’s why we built this Diagnostic- to give you clarity before you make a move.
To Give You Confidence: We know every portfolio is unique so Vendoroo built a system that can be rightsized to your specific goals instead of forcing you into a generic template. You can take this report and run with it, or we can do it for you. Let us run it for you.
This Is What You’ve Never Had Before
There are now enough companies attempting to run maintenance through AI- from intake to close- that patterns have emerged.
What worked.
What didn’t.
Where things broke.
What made it work.
And Vendoroo AI has learned from all of it.
So when it looks at your business, it’s not just analyzing your data.
It’s benchmarking you against patterns of high automation companies who have already figured this out.
And telling you:
where you stand (NOT surface metrics)
what’s holding you back (NOT laggy reports)
and what you’d need to do to get their results (NOT gut feel)
That’s what makes this diagnostic different.
And what it can show you … WILL BLOW YOUR MIND.
Without These, You’re Losing
These are example excerpts from diagnostics we’ve ran for our clients
REAL EXAMPLE 1
73.5% of work orders coming in after-hours.
Remember when we brought this up earlier? This is a real insight the diagnostic often uncovers. But more importantly-
If you have been optimizing your business to respond at 2 PM instead of at 11 PM, but that’s only 26.5% of the work, you’ve optimized for the wrong thing.
What you can do with this:
Design your intake and triage around when demand actually shows up. Maybe you rearrange your staffing hours. Maybe you invest in AI triaging and troubleshooting. Maybe you upgrade your after hours service.
But you know how important that piece is now.
REAL EXAMPLE 2
17.3 work orders per door annually. Nearly 3x benchmark.
And a high handyman ratio to match.
If your maintenance volume is that high and most of the work is being handled by a handyman, there’s a good chance you’re not actually fixing problems- you’re just moving them around. Same issue. Slight variation. Another dispatch.
What you can do with this:
Start connecting maintenance volume to resolution quality. Maybe you flag the properties that keep generating work. Maybe you route recurring issues to a specialist instead of whoever is fastest to answer. Maybe you stop optimizing for speed and start optimizing for fixing it once.
But now you know this isn’t just “a busy portfolio.” It’s the same work… repeating.
REAL EXAMPLE 3
Your actual resident sentiment score.
Most PMs have never measured this. Not really. Not in real time. Not in a way that tells you when a relationship is slipping… or when a great experience is happening and you should build on it.
What you can do with this:
AI can measure resident sentiment as work orders move through your system. Maybe you catch frustration before it turns into churn or a bad review. Maybe you follow up differently when the tone shifts. Maybe you ask for a Google review the moment a resident has a great experience.
But now you’re not guessing how residents feel anymore. You’re managing the relationship before it turns into a problem.
The New Standard (Whether You Like It or Not)
Now imagine two property managers making decisions.
Same size portfolio.
Same types of properties.
Same pressure to “figure out AI.”
One of them doesn’t know the percentage of WOs that come in after hours.
So she hires based on when the office is open.
She invests heavily in her business hours process.
But still outsources after hours to the least expensive call center.
The other one can see what’s actually happening.
She staffs for the busiest hours.
She improves her processes by order of need.
She chooses her vendors based on how good they are after hours.
That’s the difference between property managers pulling away with AI, and the ones stuck with the devil they know.
Find Out Where You Stand
If you’ve read this far, you don’t need another pitch. You just need to see your own numbers.
We’ll run this diagnostic for you for FREE.
And it’s as easy as printing a specific report out of your PMS, and emailing us 3 documents. If you don’t know how, we’ll walk you through it.
You can reply directly to this email, or book time with our team through this link, and we’ll get it started.
The 3-Step Onboarding (Simplified For You)
Now- if you’re the type of operator who wants to take that roadmap and build it yourself…
You can.
But most people don’t have the time to step out of the day-to-day and implement something like this from scratch.
That’s where we come in.
Because our team doesn’t just show you the path- we clear it for you. Our AI coaches will work on the gaps in the report for you until you are ready to flip the automation switch.
So you don’t have to choose between running your business and improving it.
To get started- whether it’s your 48-hour diagnostic or full onboarding- we start in the exact same place.
That’s it.
No more meetings.
No extra homework for a team that’s already maxed out.
From there, our internal team goes to work behind the scenes- not just pulling numbers, but reading patterns, connecting signals, and identifying where your operation is actually breaking.
We map it right away.
What to fix first.
What it’s worth.
And what happens if you do it.
Because clarity without direction is just another report.
And we don’t hand you reports.
We hand you a path-
And help you walk it.
How would I land new clients by using your tech?
